Privacy Policy
What we collect, why we collect it, who helps us process it, and how you can reach us about it. Written in plain English.
01Who we are
Akoni Virtual ("Akoni Virtual," "we," "us") provides virtual assistant services to real estate agents. This policy covers akonivirtual.com, our sign-up pages, and the online VA Services Agreement. The business is operated by [LEGAL ENTITY NAME AND TYPE, e.g. Akoni Virtual LLC], located at [BUSINESS MAILING ADDRESS], California.
02Information we collect
We only collect what we need to talk with you and provide the service you buy.
- Contact details you give us: first and last name, email address and phone number.
- Business details: brokerage, license number (if you provide it), state, city, business address, preferred start date and the plan you choose.
- Agreement records: when you sign the VA Services Agreement online we keep the signed agreement, your typed signature, the acknowledgements you checked, the date and time, your IP address and your browser/device description. This audit trail proves who signed and when.
- Payment records: Stripe tells us whether a payment succeeded, the amount, the last four digits and brand of the card, and Stripe customer and subscription IDs. We never receive or store your full card number or security code (CVV).
- Messages: anything you send us by email, text or phone.
- Basic technical data: our hosting provider automatically records standard server logs (such as IP address, browser type and pages requested) to keep the site running and secure.
The "Book a call" forms on this site do not send data to our servers. They open your own email app with a pre-filled message to us, and nothing is sent until you press send.
03Why we collect it and how we use it
- To answer your questions and schedule calls.
- To prepare, sign and keep a record of your VA Services Agreement.
- To set up and deliver the services you purchased, including matching you with a VA and configuring your workflows.
- To bill the setup fee and monthly fee, and to send receipts and account notices.
- To prevent fraud, keep our systems secure and meet legal, tax and accounting obligations.
We use your name, email and phone number to contact you about your account and services. We do not sell your personal information, and we do not share it with anyone for cross-context behavioral advertising.
04Stripe and card payments
Payments are processed by Stripe, Inc. When you pay, you enter your card details directly on Stripe's secure checkout page, not on our site. Stripe stores your card so it can charge the monthly fee you agreed to. Stripe handles your payment information under its own privacy policy at stripe.com/privacy. Our own servers never store full card numbers or CVV codes.
05Service providers who process your information
We share information only with companies that help us run the business, and only what they need to do their job:
We may also disclose information if required by law, to protect our rights or safety, or as part of a sale or reorganization of the business.
06How we protect it
We use HTTPS encryption on every page, store signed agreements in private, access-controlled storage, limit access to people who need it, and keep card data with Stripe instead of on our servers. No system is perfectly secure, so we cannot promise absolute security. If a breach affects your personal information, we will notify you as required by California law.
07How long we keep it
We keep signed agreements, audit trails and billing records for as long as your account is active and then for [RETENTION PERIOD, e.g. 7 years] after it ends, to meet tax, accounting and legal requirements. Inquiries that never turn into an account are deleted after [INQUIRY RETENTION PERIOD, e.g. 24 months]. Stripe keeps payment records under its own retention rules.
08Your choices and rights
- Access and correction: ask us for a copy of the information we hold about you, or to correct it.
- Deletion: ask us to delete your information. We will delete what we can, but we may need to keep signed agreements and billing records that the law requires us to keep.
- Marketing: we only email you about your inquiry or account. If we ever send marketing emails, every one will have an unsubscribe link.
To make a request, email akonivirtual@gmail.com with the subject "Privacy request." We may need to confirm your identity before acting. We aim to respond within [RESPONSE TIME, e.g. 30 days].
California has a consumer privacy law (the CCPA, as amended by the CPRA) that gives extra rights to California residents when a business meets certain size thresholds. Based on our current size, we do not believe the CCPA applies to us. We will still honor the access and deletion requests described above.
10Children
Our services are for real estate professionals. We do not knowingly collect information from anyone under 16.
11Changes to this policy
If we change this policy, we will post the new version here and update the effective date at the top. If the change is significant, we will also email active clients.
